ProspectMade is run by Baysix Media LLC, a Wyoming limited liability company operating in California (“we”, “us”). This policy covers prospectmade.com: what it collects, why, who else handles it, how long we keep it and what you can ask us to do with it. The athlete websites we build are separate sites; what they collect is covered by each client’s written agreement.
What we collect
What you type into the forms
The form on /start/ asks for:
- The athlete’s graduation year, or their age group (youth, or college, pro and adult). We never ask for the athlete’s name.
- The sport and your main goal
- Anything else you choose to tell us (optional)
- The contact’s name and email
- For youth and high school, that you’re the athlete’s parent or guardian
If you arrived from a pricing button or a coach’s team link, the form also records which package or which team, so we know where you came from.
The form on /coaches/ asks for the coach’s name, team or school, email, roster size and sport.
We store only the fields that apply to your answers. If you email us directly, we also have whatever you put in that email. Earlier versions of the /start/ form asked for more (first name, position, state, phone and the like); those submissions keep what was sent and follow the same retention below.
What your browser sends
Like every website, our host (Cloudflare) receives your IP address and basic browser details when you load a page. We use your IP address in two ways when you send the form, and store it in neither:
- Rate limiting. It’s counted for a short time to stop one source flooding the form.
- Spam check. It’s passed to Cloudflare Turnstile with the check (see below).
We don’t store your IP address, browser, device or the page you came from with your submission.
How we use it
- To reply to your inquiry, answer questions, schedule a call and send a proposal.
- If you become a client, to set up and run the athlete’s website under your written agreement.
- To keep the form free of spam and abuse.
- To keep records the law requires.
We don’t sell your personal information, share it for targeted advertising, or use it to build profiles.
Who else handles it
We use a small number of service providers, each only to run this site:
- Cloudflare hosts the site, stores form submissions in a database only we can read, sends the email that delivers your submission to us, runs the Turnstile spam check and counts visits.
- Zoho hosts our mailbox, where submissions arrive and where we reply from.
- Stripe handles payments. We never see or store your full card details.
- Anthropic (Claude) helps us edit film, build sites and draft content. We share only what’s needed for that work.
We may also disclose information if the law requires it, to protect our rights or someone’s safety, or as part of a sale or transfer of the business (in which case this policy keeps applying to what you sent us).
Spam protection
The form uses Cloudflare Turnstile to check that a person, not a bot, is sending it. Turnstile loads on /start/, /coaches/ and the client intake (/intake/) only. Cloudflare processes the check, including your IP address and browser signals, under its own privacy policy.
Analytics and cookies
We use Cloudflare’s analytics, which count visits without cookies. We set no cookies of our own and run no advertising or cross-site tracking scripts. Turnstile may store what it needs in your browser for the spam check.
Because we don’t track you across sites, Do Not Track and Global Privacy Control signals don’t change anything on this site: there is no tracking to switch off.
How long we keep it
We keep form submissions for up to 12 months after our last real conversation with you (a reply, a consultation or a call), unless you become a client or the law requires us to keep them longer. Automated emails and page visits don’t count as a conversation. After that, we delete them, including copies in our inbox. Spam and clearly invalid submissions are deleted within 30 days.
These are our own business defaults, not periods set by law. Records of signed agreements, invoices and payments follow a separate schedule. Deleted records can remain in Cloudflare’s short-term database backups until those backups expire.
The client intake
Families we work with get a private intake page (/intake/), and their athlete gets a short link of their own. Your answers are emailed to us when you send them; until then your draft is kept in your own browser.
If you ask the intake to email you a link so you can finish on another device, we save a copy of your draft (your answers so far) with Cloudflare under a private link and email that link to the address you give. The saved copy is deleted when you send your answers, and otherwise after 7 days. Anyone with the link can open the draft, so please don’t forward it.
How we protect it
Submissions are stored in a private database and an inbox that only we can sign in to, both with two-step sign-in. No website or email system is perfectly secure, so we can’t promise that information will never be exposed. If a breach affects your information, we’ll tell you as the law requires.
Your choices and rights
Email contact@prospectmade.com to:
- See what you sent us
- Correct it
- Delete it
- Ask us to stop contacting you
We’ll answer within 30 days, and we may need to confirm you’re the person who sent the form (for example, by replying from the same email address). We won’t treat you differently for asking.
California residents
California law gives residents rights over their personal information, including the rights to know, correct and delete it, and to opt out of its sale or sharing. We don’t sell or share personal information as California law defines those terms, and we don’t give it to others for their own direct marketing. To use any of these rights, email contact@prospectmade.com.
Children
This site is for parents, guardians and adult athletes. Youth and high school forms are filled in by a parent or guardian, who confirms that on the form. We never ask for an athlete’s last name, school or contact details on this site, and we don’t knowingly collect personal information from children under 13. If you think a child has sent us information, email us and we’ll delete it.
Where your information is
We’re based in the United States, and our service providers process information in the United States and other countries where they operate.
Changes to this policy
If we change this policy, we’ll update it here and change the date at the top. If a change is significant, we’ll say so on this page and, where we have your email, tell you before it applies to what you already sent us.
